Archiving a user removes them from day-to-day scheduling without permanently deleting their account or history.

Use archiving when someone has left the firm, no longer takes bookings, or should temporarily stop appearing as an available colleague.

What Happens When A User Is Archived

When a user is archived:

  • They are removed from the main Colleagues list.
  • They can no longer be selected for new bookings.
  • Their personal booking pages stop accepting new meetings.
  • Their profile and booking links can redirect to another user, if one is selected.
  • Their account is kept in the system so admins can review, edit, or restore them later.

Archived users appear in the archived section of User Management.

Redirecting An Archived User

When archiving a user, an admin can choose an alternative user to redirect visitors to.

If an alternative user is selected, visitors who open the archived user’s public profile or personal booking pages will be redirected to the alternative user’s public profile or booking page.

If no alternative user is selected, visitors will be shown the firm’s default unavailable page.

This helps avoid broken links if an old booking link has already been shared with clients or contacts.

What Happens To Team Event Types

Team Event Types work differently from personal booking pages.

If someone visits a Team Event Type link connected to an archived user, Calendr redirects them back to the main Team Event Type page instead of another individual user.

This allows the Team Event Type to continue using its normal setup, such as round robin assignment, default assignee, or letting the visitor choose who they want to meet with.

How To Archive A User

  1. Go to Settings.
  2. Open User Management.
  3. Find the user you want to archive.
  4. Select Archive.
  5. Choose an alternative redirect user if needed.
  6. Confirm the archive action.

The user will move into the archived users section.

How To Restore A User

  1. Go to User Management.
  2. Open the archived users section.
  3. Select Restore next to the user.

Once restored, the user can appear in colleague lists and booking flows again, depending on their role and event type assignments.

When To Edit An Archived User

Admins can still edit archived users. This is useful if you need to update their redirect user, change their profile details, or restore them later.

On the user’s profile settings page, admins can manage:

  • Archive or restore status
  • Redirect or alternative user
  • No redirect option

Best Practice

Before archiving someone, check whether their booking links are still being shared with clients. If they are, choose a suitable redirect user so visitors are sent to the right person instead of reaching an unavailable page.
