Connect Notion to Calendr

When someone confirms a booking or submits a qualifying form, Calendr can create or match a contact in your contacts database and create a linked deal (or opportunity) in your deals database — without copying names and emails by hand. This guide explains what the integration does and how to set it up.

Calendr’s Notion integration sends booking and form submissions into the Notion databases you already use for prospect follow-up. When someone confirms a booking or submits a qualifying form, Calendr can create or match a contact in your contacts database and create a linked deal (or opportunity) in your deals database — without copying names and emails by hand.
This guide explains what the integration does and how to set it up.

What the integration does

Once connected, Calendr can:
  • Create or match a contact in your chosen Notion contacts database (matched by email when possible)
  • Create a deal row in your chosen Notion deals database
  • Link the deal to the contact using your Notion relation property (for example, Contact Name)
  • Map common fields automatically — name, email, phone, organisation, source, and meeting/submission date — when your Notion columns use matching property types
You configure which databases to use per event type and per qualifying form, so different meeting types can feed different Notion boards if needed.

Sync runs when:
  • Someone confirms a booking (or completes a post-booking form, if your event type collects information after booking)
  • Someone submits a qualifying form (when that form has Notion databases configured)
Each sync attempt is logged under Settings → Integrations → Notion, where you can review activity and retry failed syncs.

Before you start

You will need:
  • Firm admin access in Calendr
  • Admin access to your Notion workspace
  • A Notion setup with:
    • A contacts database
    • A deals (or opportunities) database
    • A relation property on the deals database that links to the contacts database
Share both databases with the Calendr connection in Notion before you connect in Calendr (see step 1 below).

Step 1: Share your databases in Notion

Calendr can only see Notion databases that have been shared with the integration.

For each database (contacts and deals):
  1. Open the database as a full page in Notion
  2. Click ••• (top right)
  3. Open Connections (or Add connections)
  4. Find and select Calendr
  5. Confirm access

Do this for both the contacts database and the deals database.


If the relation column on your deals board does not appear in Calendr later, check that the contacts database is shared as well — Notion requires both sides of a relation to be accessible.

Step 2: Connect Notion in Calendr

  1. Sign in to Calendr as a firm admin
  2. Go to Settings → Integrations
  3. Open Notion
  4. Click Connect Notion
  5. Sign in to Notion and approve access for your workspace
  6. You should return to Calendr with a confirmation that Notion is connected
Only one Notion workspace is connected per Calendr firm. The person who connects should have access to the databases you plan to use.

Step 3: Refresh your database list

After connecting:
  1. On the Notion integration page, click Refresh databases
  2. Calendr loads the Notion databases shared with the integration, including their property names and types
Run Refresh databases again whenever you:
  • Add new columns to a database
  • Create a new database you want to use
  • Share an additional database with Calendr

Step 4: Configure an event type or qualifying form

You choose which Notion databases each booking page or form updates.

Event types

  1. Go to Event types and open New or Edit for the meeting type you want
  2. Scroll to the Notion → CRM databases section
  3. Set:
    • Contacts database — where Calendr creates or matches contacts
    • Deals database — where Calendr creates follow-up opportunities
    • Deal → contact relation — the relation column on your deals database (e.g. Contact Name)
    • Deal title (optional) — defaults to {{invitee_name}} — {{source_name}}. You can also use {{organization_name}}
  4. Save the event type
Tip: If the relation dropdown is empty, save your contacts and deals database choices first, then re-open the event type. If it is still empty, go back to Settings → Integrations → Notion and click Refresh databases.

Qualifying forms

The same Notion → CRM databases section appears on qualifying form create/edit screens. Use it when you want submissions to create Notion records before someone books a meeting.

Step 5: Test with a real submission

  1. Submit a test booking or qualifying form using the configured page
  2. Check Notion:
    • A row should appear in your contacts database (or an existing contact matched by email)
    • A row should appear in your deals database
    • The deal’s relation field should point to the contact
  3. In Calendr, open Settings → Integrations → Notion and review the Activity log
If something failed, use Retry on the failed entry after fixing the issue (for example, a missing database share or relation property not selected).

How field mapping works

Calendr maps booking and form data to Notion properties automatically when your database includes matching column types:
Calendr data > Notion property types used
Invitee name > Name
Email > Email
Phone > Phone
Organisation > Rich text or Title
Event type / form name > Select or Rich text
Meeting or submission date > Date

You do not need to map each field manually for standard CRM columns. If your Notion setup uses unusual column names but standard types (for example, a column called Work email with type Email), Calendr will still detect and use it.

Troubleshooting

No databases appear after refresh

  • Confirm both databases are shared with Calendr in Notion (Step 1)
  • Click Refresh databases again
  • Check you connected the correct Notion workspace

The relation dropdown is empty

  • Select Contacts database and Deals database, save, then re-edit the form
  • Refresh databases in integration settings
  • Confirm the deals database has a Relation column pointing to your contacts database
  • Share the contacts database with Calendr if you have not already

Contacts sync but deals do not

  • Confirm a Deals database is selected on the event type or qualifying form
  • Confirm Deal → contact relation is set to the correct relation column
  • Check the activity log for the specific error message

Duplicate contacts

Calendr looks for an existing contact by email before creating a new one. If duplicates appear, check that your contacts database has an Email property and that submissions include an email address.

Sync did not run on booking

  • Confirm Notion is connected (not just configured in Notion’s developer portal)
  • Confirm the event type has at least one Notion database selected
  • If the event type uses a form after booking, sync runs when that form is submitted — not at the initial booking step

Disconnect Notion

To remove the integration:
  1. Go to Settings → Integrations → Notion
  2. Click Disconnect
Event types and qualifying forms keep their database selections, but syncs stop until you connect again.
