How to Add Multiple-Choice Questions to Booking Forms

Use multiple-choice questions to collect consistent information before a meeting. Choose whether attendees can select one answer or several, add one option per line, and make a response required when your team needs it.

Multiple-choice questions make booking information easier to read and act on. Instead of asking an attendee to describe their situation in their own words, you can give them clear answers to choose from.
For example, a new-client call could ask whether the attendee is a new enquiry, an existing client, or a referral. A support booking could ask which service they need help with. Those answers are then saved with the booking, so the person taking the meeting has useful context before the call.

Before you start

Multiple-choice questions are added to an event type’s attendee form. You can use them on personal event types and team event types.
Decide whether the attendee should choose one answer or may choose several before adding the question. That choice determines which field type to use.

Add a multiple-choice question

  1. Open the event type you want to update and choose Edit.
  2. Scroll to Attendee Form.
  3. Turn on Collect information from attendees if it is not already enabled.
  4. Select Add Custom Field.
  5. Enter the question in Field Title.
  6. Choose the appropriate Field Type.
  7. Enter the available answers in Answer choices, with one answer on each line.
  8. Add optional Description/Help Text if the attendee needs more guidance.
  9. Select Required field if the attendee must answer the question.
  10. Save the event type.
The answer choices you enter are the choices the attendee will see. Empty lines are ignored, so you can leave a blank line while editing without creating a blank option.

Choose the right question type

Dropdown (single choice)

Use Dropdown (single choice) when the attendee should select one answer and you want the form to stay compact. It is a good fit for a longer list, such as company size, referral source, or the type of appointment they need.
The attendee sees a menu with a “Select an option” prompt and can choose one answer.

Multiple choice (one answer)

Use Multiple choice (one answer) when the attendee should pick exactly one answer and it helps to show all choices at once. Calendr displays these choices as radio buttons.
This works well for a simple decision, such as:
  • New enquiry
  • Existing client
  • Partner referral

Multiple choice (several answers)

Use Multiple choice (several answers) when more than one answer can be true. Calendr displays these choices as checkboxes, and attendees can select as many as apply.
For example, an attendee booking an introductory call could select the services they are interested in:
  • Accounts
  • Payroll
  • Tax returns
  • Advisory support

Make a question required

Select Required field when your team needs an answer before the booking can continue. A required dropdown or single-answer question needs one selected option. A required multiple-answer question needs at least one checkbox selected.
If an attendee misses a required question, Calendr shows an error naming the incomplete question and keeps their submitted answers in place. They can select an answer and submit the booking again without starting over.

Use descriptions to make answers unambiguous

A short description is useful when the choice labels could mean different things to different people. For a question such as “What do you need help with?”, you might add: “Select every service you would like to discuss in the first meeting.”
Keep the options distinct. If two choices could both describe the same situation, attendees will make inconsistent selections and the form will not give your team cleaner information. If you need an explanation as well as a choice, add a separate Text Field or Text Area beneath the multiple-choice question.

Where to find the answers

After an attendee books, their answers are saved with the booking. Open the booking and look for Form submission to see each question and response. Booking notifications also receive the form data, so the meeting owner can review the context before the appointment.
