Team Event Type fallback options (and when to use each)

Team Event Types let you control how bookings are routed across your team. Choose between Round robin, Default assignee, or Visitor select, and use fallback behavior to avoid losing bookings when a team member is unavailable.

When you create or edit a Team Event Type, you can choose how bookings are routed to teammates using Booking Assignment Strategy.

This is where fallback behavior comes in: if one routing method cannot be used, calendr can route the booking another way so opportunities are not missed.

Where to set this

  1. Go to Team Event Types.
  2. Create a new Team Event Type or edit an existing one.
  3. In Team Settings, find Booking Assignment Strategy.
  4. Choose the strategy that fits your workflow.

Available options

1) Round robin


What it does:
Automatically routes the booking to an active team member from the assigned teams.

When to choose it:
  • You want to spread meetings across the team.
  • You do not want one person handling all inbound bookings.
  • You want a simple default routing approach.

2) Default assignee

What it does:
Routes bookings to one specific person (set in Default Team Member).

When to choose it:
  • One person should usually own this meeting type (for example, onboarding lead or account owner).
  • You want consistency in who receives bookings.

3) Visitor select

What it does:
Shows a team-member selection page so the attendee chooses who to book with.


When to choose it:
  • You want attendees to pick a specific person.
  • You want bookings based on relationship, language, role, or preference.

Built-in fallback behavior

calendr includes practical fallback logic for Team Event Types:
  • If Default assignee is selected but no default team member is set, calendr falls back to automatic team-member selection (round-robin style routing).
  • If someone opens a specific team member booking link and that person is no longer available for that event type, calendr redirects to the team-level booking page so booking can still continue.
  • If assignment routing cannot resolve through team strategy, the event type owner can be used as a final fallback path.

Quick recommendation

  • Use Round robin for shared queues and balanced distribution.
  • Use Default assignee when one owner should receive most bookings.
  • Use Visitor select when attendee is likely to have a relationship with members of your team that they will recognise.

For best results, make sure the correct teams are assigned to the Team Event Type and that team members keep their availability up to date.
