Manage Availability: Profile vs Event Type

Set your base availability at profile level, then choose whether each event type uses that default schedule or its own custom hours.

Availability in calendr is managed in two layers:

  1. Profile-level availability (your default schedule)
  2. Event-type availability (per event type override)

This gives you a simple default and flexibility when specific meeting types need different hours.

1) Set your profile-level (default) availability

Use this when you want one baseline schedule for most bookings.
  1. Go to Profile Settings.
  2. Find Weekly Availability.
  3. Select the hours you are available (grid view).
  4. Save changes.
This becomes your default availability for event types that use profile defaults.

2) Set availability on an event type

Use this when a specific event type needs different hours.
  1. Go to Event Types.
  2. Create or edit an event type.
  3. In Availability Settings, choose one of these options:
  • Use my default availability settings
    The event type follows your profile weekly availability.
  • Custom availability for this event type
    Turn off the default toggle and set hours in the event-type weekly grid.

How precedence works

  • If Use my default availability settings is enabled:
    profile weekly availability is used.
  • If disabled:
    event type weekly availability is used.

Important: calendar conflicts still apply

Even when weekly hours are open, calendr still checks connected calendars and removes busy times from available slots.
So the final slots shown to bookers = availability schedule minus calendar conflicts, minus existing bookings and buffers.

Good practice

  • Keep profile availability as your standard working pattern.
  • Use event-level custom availability only for special meeting types (for example: shorter support windows, limited consultation blocks).
